Privacy Policy

How TrueTech Group handles information in our applications, add-ons, and services.

Effective August 1, 2026

TrueTech Group LLC ("TrueTech Group," "we," "us") builds and operates software for businesses. This includes Google Workspace add-ons distributed through the Google Workspace Marketplace, mobile applications distributed through the Apple App Store and Google Play, and web applications and services we host. This policy explains what information those products handle, why, and the choices you have.

Three commitments apply everywhere in this policy. We do not sell or rent personal information. We do not use it for advertising or share it with advertisers or data brokers. We do not use customer content to train generalized artificial intelligence or machine learning models.

Scope and roles

This policy covers the TrueTech Group applications, add-ons, and websites that link to it. Sections below describe practices specific to each platform we distribute on; the general sections apply to all of them.

Most of our products are supplied to a business customer under a separate written agreement, and are installed or administered by that organization. In those cases the organization is the controller of the business data in the product and TrueTech Group is its processor, acting on the organization's instructions. If your account was provided by your employer or another organization, that organization sets the policies for its use, can access data within it, and is the right first point of contact for requests about that data. Where such an agreement addresses data handling, it controls over this policy.

Information we collect

What we handle depends on which product you use and how you use it. Some of our applications run entirely on your device and transmit nothing to us.

Information that stays on your device

Several of our applications store settings, drafts, and working data locally on your device only. That information is not transmitted to TrueTech Group and is not accessible to us. Removing the application removes it.

Account and identity information

Where a product requires an account, we handle the identifiers needed to create and secure it: name, email address, and, where applicable, your organization and your role within it. We use this to authenticate you, provision access, attribute the actions you take, communicate about the service, and answer support requests. Passwords are stored only as salted hashes. Many deployments authenticate through your organization's identity provider or through Google, in which case we never receive your password.

Business and customer data you enter or open

Some of our products exist to work with data you or your organization put into them or open in front of them: records, documents, inventory, schedules, time entries, orders, correspondence, and notes about your own customers. That data belongs to you or your organization. We process it solely to operate the product on your behalf, keep it available and backed up, and provide support when you ask. We do not mine it for our own purposes.

Diagnostics and usage data

When a product connects to our servers we receive routine technical information: product version, device or browser type, operating system version, IP address, timestamps, and records of errors or crashes. We use this to keep the service running, diagnose defects, investigate abuse and security incidents, and understand which features are used. We do not build advertising profiles and we do not use third-party advertising or cross-app tracking technology.

Artificial intelligence features

Some of our products include assistant or automation features that use machine learning. Where a product does, we say so in that product's documentation and in the platform section below that covers it, and we tell you what that feature processes. Two rules apply to every such feature without exception: your content is never used to train generalized artificial intelligence or machine learning models, by us or by any provider we work with, and any provider involved acts as our service provider under contract, processing content only to return a result to you and never for its own purposes.

Platform

Google Workspace add-ons

This section applies to TrueTech Group add-ons installed from the Google Workspace Marketplace, including add-ons that run in Gmail. Some are published privately and installed domain-wide by a Workspace administrator rather than by individual users.

Limited Use commitment

TrueTech Group's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Our use of information received from Google Workspace APIs also adheres to the Google Workspace API User Data and Developer Policy, including its Limited Use requirements.

What we ask for, and why

Our add-ons request the narrowest scopes that will do the job. A Gmail add-on typically requests permission to run in Gmail, to read only the single message you currently have open while the add-on is running rather than your mailbox, and to see the email address of the signed-in account so we can attribute actions and keep your assistant history separate from a colleague's. We do not request access to your full mailbox, your contacts, your Drive, or your calendar unless a specific feature requires it and the consent screen says so.

How we use Google user data

Data received from Google APIs is used only to provide and improve the user-facing features of the add-on you are using: identifying which customer and which orders an open message relates to, retrieving that context from your organization's own business systems, answering your questions about it, and recording the tasks or opportunities you choose to create. It is not used for any other product, for advertising, or for any purpose you would not expect from the add-on in front of you.

Where message content goes

While you have the add-on open on a message, the add-on sends that message to TrueTech Group's own back-end services over an encrypted connection so they can work out which customer and which orders it relates to. Those services return the matching business context from your organization's own systems, and the add-on displays it. Google user data is not transferred to third-party artificial intelligence services, is not sent to any advertising platform, data broker, or information reseller, and is not used to train artificial intelligence or machine learning models. It is processed only to produce the result you are looking at.

What we store, and for how long

We do not copy your mailbox and we do not retain message bodies as a mail archive. Message content is read at the moment you open the add-on and used to answer you. Where an add-on keeps a conversation or activity history so your session can continue across a thread, that history is stored in a TrueTech Group database, is private to your account, and is deleted when you clear it in the add-on. Records you deliberately create, such as a logged task or a new opportunity, are written into your organization's own business system and retained under that system's rules.

Human access

No TrueTech Group employee reads your Google user data in the ordinary course. Access happens only with your explicit consent, for example when you send us a message or screenshot as part of a support request; when required to investigate a security incident or abuse; when necessary to comply with law; or on aggregated, anonymized data used to keep the service running. Access is limited to staff with an operational need and is logged.

Revoking access

You can review and revoke the add-on's access to your Google Account at any time at myaccount.google.com under Data and privacy, in the third-party apps and services section. Where an add-on was installed domain-wide, your Workspace administrator controls installation and can remove it for the organization. Revoking access stops all further processing; to also delete conversation history already stored, use the clear function in the add-on or contact us.

Platform

Apple App Store applications

This section applies to TrueTech Group applications you install from the Apple App Store.

What the app collects

The categories described above apply: account information where the app requires an account, business data you enter, and diagnostics. Each app's App Store product page carries a privacy label summarizing what that specific app collects and whether it is linked to you. Where an app operates entirely on device, the label reflects that no data is collected.

Tracking and device permissions

We do not track you across apps or websites owned by other companies, and we do not use the Advertising Identifier. Permissions such as camera, photos, notifications, or location are requested only when a feature needs them, are explained when requested, and can be changed at any time in iOS Settings. Denying an optional permission disables that feature, not the app.

Apple's role

Apple processes your purchase, subscription, and refund information under Apple's own privacy policy. We receive aggregate sales and crash information from Apple, not your payment details.

Google Play applications

This section applies to TrueTech Group applications you install from Google Play.

Data safety

Each app's Data safety section on Google Play states what that app collects and shares, whether data is encrypted in transit, and whether you can request deletion. Those declarations match this policy. Data is encrypted in transit in all of our applications that transmit anything.

Account and data deletion

You can request deletion of your account and associated personal information at any time using the contact link at the end of this policy, without needing to reinstall the app. We confirm the request, delete or anonymize the personal information within 90 days, and tell you what was retained and why if anything must be kept for legal or security reasons. Where the account belongs to an organization, we refer the request to that organization's administrator.

Permissions

Android permissions are requested only where a feature requires them and are explained at the point of request. We do not request permissions unrelated to the app's stated purpose.

Web applications and this website

This section applies to truetechgroup.io and to the web applications we host for customers.

This website

If you submit our contact form we receive what you type, so that we can reply. We use the cookies necessary to serve and secure the site and to keep a session working. We do not run advertising trackers on this site.

Hosted applications

Web applications we operate for a customer hold that customer's business data under the agreement with that customer. Access is controlled by the customer's administrators. Our handling is as described in the general sections of this policy.

How we use information

We use the information described above to deliver and maintain the product, authenticate and support you, secure our systems, meet legal and contractual obligations, and fix and improve what we build. We do not use it for advertising, we do not sell or rent it, and we do not use customer content to train generalized AI or ML models.

Sharing

We share information only in these situations: with service providers who host or operate parts of our infrastructure under contract and may process data only on our instructions, including our cloud hosting providers; with your own organization, where the account belongs to a business customer; when you direct us to connect a product to a third-party service you have chosen; when required by law, legal process, or to protect the rights and safety of users and the public; and in connection with a merger, acquisition, or sale of assets, where the recipient remains bound by this policy. We do not transfer Google user data to third parties except as described in the Google Workspace section above.

Retention and deletion

We keep account information while the account is active, and business data for as long as the applicable customer agreement requires. When an account is closed we delete or anonymize the associated personal information within 90 days, except where we must retain records for legal, tax, or security reasons, or where data has been aggregated so it no longer identifies anyone. Backups are purged on their normal rotation. Assistant conversation history is deleted when you clear it.

Security

We use encryption in transit, access controls limited to staff with an operational need, hardened and monitored infrastructure, credential management through dedicated secret stores, and regular patching. Requests from Google to our add-on endpoints are cryptographically verified on every call. No system is perfectly secure, but we treat customer data as the most sensitive thing we hold, and we notify affected customers promptly if we learn of a breach that puts their information at risk.

Your choices and rights

You may request access to the personal information we hold about you, ask us to correct it, ask us to delete it, or ask for a copy in a portable format. Depending on where you live you may have additional rights under laws such as the Oregon Consumer Privacy Act, the California Consumer Privacy Act, or the GDPR, including the right not to be discriminated against for exercising them. We honor these requests regardless of where you live, and we respond within 45 days. Where we act as a processor for your organization, we will route the request to them and support their response.

You can also control device and account permissions in your operating system settings or Google Account, and unsubscribe from non-essential email using the link in the message.

Children

Our products are business tools. They are not directed to children, and we do not knowingly collect personal information from anyone under 13. If we learn we have, we delete it.

Where data is processed

We operate our infrastructure in the United States. If you use our products from outside the United States, your information is transferred to and processed in the United States, where privacy laws may differ from those in your country.

Changes to this policy

We update this policy when our practices change. The effective date at the top reflects the current version. For material changes we give notice in the product or by email before the change takes effect.
